Two Questions We Ask Every Room

"Who here has used AI at least once?"

At the Carlisle Inn in September, in front of eighty-odd contractors, project managers, CPAs, and office managers, most of the hands in the room went up.


Somebody at your company used AI this week. They tried it at home, it helped, and they brought it to work on Monday. Maybe they pasted a contract in to summarize it. Maybe they cleaned up a client email.
 

"Who has a written rule at work about it?"

Almost every hand went back down. Same result in law firms, medical practices, accounting offices, and manufacturers across Southwest Florida.


So the question is not whether your company should adopt AI. Your company already did. The only question is whether you direct it, or it keeps happening in the dark.
 

It Is Not an Industry Problem

The construction room looked exactly like the law firm room, the medical practice, the accounting office, and the manufacturer.


Different software, different compliance obligations, same two facts: the staff is ahead of the policy, and nobody has written the rules down. That is why these sessions work for a mixed room.
 

You Do Not Need a Strategy Deck

Nobody leaves these sessions with a transformation roadmap or a six-figure implementation plan.


They leave with three rules their whole team can remember, a one-page policy to adapt, and a prompting recipe that makes the tools genuinely useful. That is about an afternoon of work.

The Three Rules We Teach

If you never make it to a session, this is the part that matters most.

 

Rule 1: The account is the safety feature

Everyone wants to start with a tool shootout. ChatGPT or Copilot? Claude or Gemini?


For the work happening in your office, all four are good. This is Ford versus Chevy. What actually protects you is the account type behind the tool. On a free personal account, the license belongs to the employee. When they leave, they walk out with the account and everything in it. On a business account, the company owns the seat, the history, and the access. Roughly $20 to $30 per user per month.
 

Rule 2: Know what color your information is

Nobody reads the 40-page AI policy. They will not apply it at 4:45 on a Friday with a proposal due.


They will remember a traffic light. Green is public and safe in any tool. Yellow is internal and belongs in a company-controlled account only. Red is pricing, financials, client and employee records, and never goes in a free tool in any form. When in doubt, move up a color.
 

Rule 3: A human signs off, every time

Picture the best intern you ever had, on the day they finally got good. Fast, eager, and brand new.


It invents things confidently. A code section, a price, a statistic, even a source. Attorneys have been sanctioned for filing AI-invented citations. It also wants to please you, so make it argue against you instead. If AI drafted it and you sent it, it is your work, your name, and your reputation.
 

The part most companies skip

Rules without capability just produce a policy nobody needed.


Most people type into AI the way they type into Google, three words and hope, then conclude the tool is mediocre. The tool is not mediocre. The ask was. Role, task, context, format, guardrail. The guardrail is the piece almost everyone skips, and it is what stops a warranty or a deadline you never offered from landing in front of a client.
